Privacy Policy

This Privacy Policy (the “Policy”) describes how Event Kabaadi Private Limited ("Event Kabaadi", "we", "us" or "our") collects, uses, stores, discloses, transfers, retains and protects information about you when you access our website at eventkabaadi.com, our Android and iOS mobile applications, and any related services (collectively, the "Platform"). Event Kabaadi operates a listing platform for buying, selling and exchanging used or surplus event-related goods such as decor, furniture, lighting, signage and equipment. We act as a hybrid intermediary: certain listings are posted by independent users, while others are sourced and resold by us directly.

This Policy is published in accordance with Rule 3(1) of the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, Rule 4(1)(a) of the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021, and applicable provisions of the Digital Personal Data Protection Act, 2023 and Rules ("DPDP Act"), each as amended or supplemented from time to time. This Policy should be read together with our Terms of Use and any product specific notices displayed on the Platform.

By accessing or using the Platform, you confirm that you have read, understood and consent to the collection and processing of your personal data as described in this Policy. If you do not agree, or if you later withdraw consent where consent is required, you must discontinue use of the Platform.

1. Who We Are

Event Kabaadi Private Limited is a company incorporated in India with its registered office at S2, La Oceana Housing Society, Nio Dona Paula, North Goa, Tiswadi, Goa, India, 403004. For the purposes of the DPDP Act, Event Kabaadi is the Data Fiduciary in respect of the personal data described in this Policy.

For the purposes of this Policy, “personal data” means any data about an individual who is identifiable by or in relation to such data, and “you” or “your” includes a Data Principal, user, visitors, sellers, buyers, authorised representative or any other individual whose personal data is processed in connection with the Platform.

2. Scope and Applicability

This Policy applies to:

  • Registered users who create an account on the Platform using a verified Indian mobile number;
  • Guest visitors who browse listings without creating an account;
  • Sellers (including individual users and businesses) who list items for sale, rent or exchange on the Platform;
  • Buyers who contact sellers or transact for items listed on the Platform; and
  • Any other person who interacts with our customer support, marketing communications, or social media channels.

This Policy does not apply to third-party websites, applications or services that you may access through links on the Platform. Those properties are governed by their own privacy policies and terms, and you should review them before sharing personal data.

3. Information We Collect

3.1 Information you provide directly

  • Account information: your mobile number, one-time password (OTP) verification status, display name, profile photo (optional), city/locality and preferred language.
  • Listing information: photographs, videos, media files, descriptions, condition details, asking price, dimensions, pick-up location and contact preferences for items you list.
  • User-generated content: any information, images, documents or other content you upload, or make available through listings, chats, reviews, feedback or support requests.
  • KYC/verification data (where applicable): for managed-resale transactions or category-restricted listings, we may request a government-issued identifier such as a PAN, Aadhaar (masked), GSTIN or business registration certificate.
  • Payment-related information: Event Kabaadi does not currently process payments through the Platform. Where you choose to share UPI IDs, bank account numbers, wallet handles or any payment related details with another user for offline settlement, we do not store or have access to those details unless you explicitly send them to us via support.
  • Transaction and fulfilment information: order or transaction details, pick-up and delivery addresses, cancellation or return information.

3.2 Information collected automatically

  • Device and technical data: device model, operating system, unique device identifiers, app version, mobile network information, IP address, browser type and crash logs.
  • Usage data: pages and listings viewed, search queries, filters applied, click-through behavior, time spent on the Platform and referral source.
  • Location data: approximate location derived from your IP address. If you grant the mobile app permission to access precise location, we use it to surface listings near you. You can revoke this permission at any time from your device settings.
  • Cookies and similar technologies: small data files placed on your browser or device for authentication, session management, fraud prevention, analytics and to remember your preferences. You can manage cookies through your browser; disabling them may affect Platform functionality.

3.3 Information from third parties

  • Analytics, crash-reporting and performance providers (such as Google Firebase) which supply us aggregated usage and stability insights.
  • Communication providers who deliver OTPs, transactional SMS and email notifications on our behalf.
  • Fraud-prevention and verification partners, where we suspect misuse or where higher-risk categories require additional checks.
  • Publicly available sources, when we need to verify the identity of a business seller or investigate a reported violation.

4. How We Use Your Information

We process your personal data for the following specific, lawful purposes:

  • To create and authenticate your account through OTP-based mobile verification.
  • To display, rank and surface listings, including personalising recommendations based on your location and browsing history.
  • To enable buyer-to-seller and seller-to-buyer communication through our in-app messaging.
  • To facilitate managed-resale transactions handled directly by Event Kabaadi, including coordinating pick-up, inspection and delivery.
  • To prevent, detect and investigate fraud, spam, fake listings, scraping, security incidents, unlawful content, abuse and other violations of our Terms of Use.
  • To provide customer support and respond to your queries, complaints and grievance redressal requests.
  • To send service messages relating to your account, listings or transactions.
  • To send marketing or promotional communications about Event Kabaadi, subject to your express consent and your right to withdraw such consent at any time.
  • To comply with applicable law, court orders, lawful requests from government authorities and to enforce our legal rights.
  • To carry out internal analytics, research, product improvement and security testing using aggregated and de-identified data.
  • To undertake any other processing of data for which explicit consent has been given.

5. Legal Basis for Processing

Under the DPDP Act, we process your personal data on the following grounds: (a) your consent, obtained when you sign up, list an item or grant a specific permission; (b) certain legitimate uses recognised by law, including responding to medical emergencies, complying with a legal obligation and meeting a court or tribunal order; and (c) for the performance of services that you have specifically requested from the Platform.

Where we rely on consent, you may withdraw it at any time, however, withdrawal may affect our ability to provide the requested feature or service.

Where applicable, we may also process personal data to protect our legal rights, prevent harm to users or the Platform and comply with requests from law enforcement or other competent authorities, in accordance with applicable law.

6. How We Share Your Information

We do not sell your personal data. We share it only as described below:

  • With other users: your display name, listing details, city and any contact methods you enable on a listing are visible to other users. Your mobile number is not displayed publicly by default; in-app chat masks contact details until you choose to share them.
  • With service providers: cloud hosting, SMS/email delivery, analytics, customer-support tooling and anti-fraud partners who process data on our behalf under written contracts, confidentiality obligations and purpose restrictions.
  • With logistics and delivery partners: only where you have opted into a managed-resale transaction that requires pick-up or delivery.
  • With law enforcement and regulators: where we are required to do so by law, including under the Information Technology Act, 2000, Bharatiya Nagarik Suraksha Sanhita, 2024, the DPDP Act, or to respond to a valid court order or written government request.
  • In connection with corporate transactions: if Event Kabaadi is involved in a merger, acquisition, financing, reorganisation or sale of assets, your information may be transferred as part of that transaction, subject to equivalent privacy protections.
  • With professional advisers such as lawyers, auditors, insurers, etc., where reasonably necessary to obtain advice, enforce rights, investigate misuse, respond to claims or comply with governance obligations.
  • With your consent: in any other case where we obtain your explicit consent.

7. Cross-Border Transfers

Some of our service providers may store or process data on servers located outside India. Where we transfer personal data outside India, we do so only to jurisdictions that are not restricted by the Central Government under the DPDP Act, and we put in place contractual and technical safeguards comparable to those we apply within India.

By using the Platform, you understand that your personal data may be processed in India or in other permitted jurisdictions for the purposes described in this Policy, including by our service providers and their authorised sub-processors.

8. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, including any retention required for legal, accounting, tax, regulatory, fraud-prevention or dispute-resolution purposes. As a general guideline:

  • Account data is retained for the lifetime of your account and for up to three (3) years after closure.
  • Listing data may remain visible in search history and internal logs for up to three (3) years after a listing is removed.
  • Chat messages between users are retained for up to three (3) years to support dispute resolution and fraud investigation.
  • Transaction and KYC records for managed-resale transactions are retained for at least eight (8) years in line with applicable tax and statutory requirements.
  • Server logs and security data are typically retained for one (1) year, except where extended retention is needed for an ongoing investigation.

When retention is no longer necessary, we will delete personal data in accordance with our retention practices, unless continued retention is required or permitted by law.

9. Your Rights

Subject to applicable law, you have the following rights in relation to your personal data:

  • Right to access: obtain confirmation of whether we process your data and a summary of processing activities undertaken by it and identities of all other data fiduciaries and processors with whom such personal data has been shared, along with a description of the personal data so shared.
  • Right to correction and updation: request correction of inaccurate or incomplete data, or updation of stale data.
  • Right to erasure: request deletion of personal data that is no longer necessary, subject to legal retention requirements.
  • Right to withdraw consent: withdraw any consent you have previously given. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.
  • Right to grievance redressal: raise a complaint with our Grievance Officer (Section 13).
  • Right to nominate: nominate another individual to exercise your rights in the event of your death or incapacity.

10. Children

The Platform is not directed to children under the age of 18 and is intended for users who are competent to contract under applicable law. We do not knowingly collect personal data from minors. If we become aware that a minor has created an account or provided personal data without valid parental consent, we will deactivate the account and delete the associated data. Parents or guardians who believe a minor has provided us with personal data may contact us at the support email above.

11. Security

We implement reasonable security practices in line with the IT Act, 2000, DPDP Act and the rules thereunder including encryption in transit, access controls, periodic security reviews and staff training. No internet-based service can guarantee absolute security; you are responsible for keeping your mobile number, OTP and device secure. Notify us immediately if you suspect unauthorised access to your account or any misuse of the Platform. In the event of a suspected or confirmed security incident involving personal data, we will take reasonable steps to investigate, contain and remediate the incident.

12. Cookies and Tracking

Our website uses cookies and similar technologies for session management, security, analytics and personalisation. Our mobile applications use software development kits (SDKs) from analytics and crash-reporting providers for equivalent purposes. You can manage cookies through your browser settings, and disable advertising identifiers from your mobile device settings, though some Platform features may not function correctly as a result.

13. Grievance and Data Protection Officer

In accordance with Rule 3(2) of the Intermediary Guidelines, 2021, the contact details of our Grievance Officer are set out below. The same individual currently serves as the contact for data protection queries until a separate Data Protection Officer is designated under the DPDP Act.

We will acknowledge grievances within twenty-four (24) hours of receipt and aim to resolve them within fifteen (15) days, or such shorter timeframe as may be required by law.

14. Updates to this Policy

We may update this Policy from time to time to reflect changes in our services, technology, legal requirements or business practices. The updated Policy will be posted on the Platform with a revised "Effective Date". Where the changes are material, we will provide a more prominent notice (such as an in-app banner or email). Your continued use of the Platform after the updated Policy takes effect signifies your acceptance of the revised Policy.
